Intern Policies and Procedures

Hours Requirements

  • Summer interns will work 40 hours a week for approximately 10 weeks
  • Semester interns will work 10-20 hours a week
    • Hours are negotiated at start of each semester and should follow a schedule set with their manager. 
    • Interns may not move up to full-time until summer so as not to complicate stipend payments
  • Interns who have graduated may remain for a one-semester (spring/summer/fall) grace periop
    • Graduated interns may work either 20 or 40 hours a week, at manager discretion
  • Interns may not work remotely *Remote work is currently permitted due to the pandemic.
    • As long as the office is open and staff are working in person, a manager may choose to ask for their intern to work at least partially in-person. 
  • If interns miss more than approximately 5% of their planned work hours, financial reconciliation will take place at the end of the semester
  • Interns will be paid for District holidays
  • Interns may make up missed hours, but should not generally be working more than 9 hours each day

Intern Payments

  • Interns will receive stipend payments, amounting to $18 an hour for undergrads and $20 an hour for undergrads
  • They will be paid every two weeks
  • Interns should submit their hours to Time-Online weekly
  • Research should input hours from Time-Online into our tracking spreadsheet once a month

Intern Recruitment Procedures

  • DDOT Research will notify Howard U when approached for intern projects. For the summer research intern project selection, DDOT Research will involve Howard U in the selection and refinement of projects.
  • Howard U will work with managers as needed to help refine the scopes and descriptions for selected projects
  • Howard U will recruit interns via application and interviews
    • DDOT will assist with publicizing the call
  • Howard U will send final candidate selections to DDOT Research, who then send to the appropriate manager
    • If the manager does not approve and gives suitable reasoning as to why, another candidate will be selected)
  • Once interns are sent an offer letter, Howard U will confirm that they are accepting the internship

Summer Research Intern Recruitment Schedule

  • Intern call for projects/brown bag-end of January
  • Project submissions due-early February
  • Intern projects finalized and posted- mid-February
  • Offer letters (ideally) out-April 1
  • Intern start-date-First or second week of June

Typical Summer Orientation

  • Research: DDOT/Intern Program slide-show (45 mins-1 hour)
    • Currently stored in the Intern Program folder in the Research section of the PSD H Drive
  • HR: Welcome presentation (25 mins)
    • Current contact: Tanya Powell
  • Intern managers: Brief overview of projects (1 hour)
    • Managers get ~5 min each.
  • Pizza lunch (1 hour)
    • Current procedure is to collect $10-20 from each manager to cover the cost
